How to Set Up Jira Integration in eResource Scheduler

Connecting Jira to eResource Scheduler (eRS) lets you sync work items directly into your resource planning workflow. When a Jira issue is created, updated, or deleted, eRS reflects that change automatically; no manual re-entry is needed.

Before You Start

Make sure you have the following in place before starting:

• An active Jira account
• Jira permissions to manage Spaces and Work Types
• An eRS Administrator account and access to the project screen 

Step 1: Open the Jira Integration Setup

1. In eResource Scheduler, go to Administration > Integration > Jira.
2. Click Create to start a new integration formula.

This opens a four-step wizard that guides you through the entire configuration.

Step 2: Connect Your Jira Account

The wizard opens on Wizard 1 – Select Jira Account.

If you already have a connected Jira account: The connected account will appear in the list. Select it and move to Step 3.

If no account is connected yet:

1. Click Add Account.
2. You will be redirected to the Atlassian authorization page.
3. From the Use app on dropdown, select the Jira site you want to connect to.
4. Review the permissions requested by the eResource Scheduler Connector App.
5. Click Accept.

Once authorized, you will be redirected back to eResource Scheduler. The newly connected account is selected automatically, and the wizard advances to the next step.

Step 3: Configure Jira Settings

The wizard is now on Wizard 2 – Jira Configuration.

1. Enter a Formula Name to identify this integration.
2. From the Select Space dropdown, choose the Jira space you want to sync.
3. The available Work Types for that space load automatically. Select the ones you want to include. You can also search by name if the list is long.
4. Click Next to proceed.

Note: Work Types are tied to the selected Space. If you switch to a different Space, the Work Type list refreshes to match.

Step 4: Configure eRS Settings

The wizard is now on Wizard 3 – eRS Configuration.

1. Select the eRS Project Type that will be used when creating projects from Jira work items.
2. Map Jira fields to their corresponding eRS fields. Default mappings are populated automatically.
3. To add more mappings, click Add Mapping and choose the fields you want to link.
4. Select which Synchronization Events should trigger the integration:

5. If you enable Delete, choose how eRS should handle it:

• Delete the eRS project and all associated objects: Removes everything linked to that project.
• Delete the eRS project only if no associated objects exist: A safer option that prevents accidental data loss.

6. Click Next to proceed.

Step 5: Set Up Filters

The wizard is now on Wizard 4 – Add Filter.

Filters let you control which Jira work items actually get synced to eRS. This is useful if you only want to pull in work items that meet specific criteria, for example, a particular status, priority, or label.

Configure your filter conditions as needed.

Important: Only Jira work items that match all configured filter conditions will be processed. If no filters are set, all work items from the selected Space and Work Types will sync.

Once your filters are in place, save the integration formula.

Step 6: Verify the Integration

After saving, confirm that everything is working as expected.

1. Jira Application: Go to your configured Jira space and create or update a work item that matches your filter conditions.
2. Save the work item in Jira.
3. Back in eRS, navigate to Administration > Integration > Jira > Logs.
4. Check the log entry to confirm that the sync completed successfully.
5. Verify that the corresponding project was created or updated in eRS.
